If you sell on Instagram, TikTok or WhatsApp, you know the problem: a new stock post brings fifty "nataka hii" comments and DMs, and a week later, when the goods arrive, half those people are lost somewhere in your chats. A preorder form fixes that. Everybody who wants the item leaves their name and number in one place, and you can reach all of them with a single SMS.
1. Create the form
In your SwalaSMS account open Lead Capture and create a new form. You can start from a template such as Product Inquiry or Request a Quote, or start from scratch. Keep it short. For a preorder you usually need only:
- Full name
- Phone number
- The item, size or colour they want
- Their location, if you deliver
Every extra question loses you a few customers, so ask only what you will use.
2. Decide where the contacts go
Choose a contact group for the form, for example Preorder: December shoes. Every person who submits is saved into that group automatically, so the list builds itself while you sleep. If the same number fills the form twice, you can choose not to create a duplicate.
3. Thank people instantly
Turn on the automatic SMS and pick your sender ID. Something like:
Asante Neema! Tumepokea oda yako ya viatu. Tutakutumia SMS mzigo ukifika.
The customer gets proof that the order was received, under your shop's name, and you look organised without typing a single reply.
4. Share the link everywhere
Publish the form and open its share page. You get a link and a QR code.
- Put the link in your Instagram and TikTok bio.
- Pin it in your WhatsApp status and business profile.
- Print the QR code on a small card for walk-in customers.
- Reply to comments with "Weka oda hapa: link kwenye bio".
5. Message everybody when stock lands
When the goods arrive, send one campaign to the preorder group. Use the customer's name in the message so it reads personally, and give a clear next step: a price, a pickup time, a number to pay to. Then read the delivery report to see who received it.
Tips that make a difference
- Set a closing date or a limit on the form if stock is limited, so you never take more orders than you can fill.
- Keep the group. People who preordered once are your best audience for the next drop.
- Ask permission. Add a line on the form saying you will send updates by SMS. People who expect your message are far more likely to act on it.
