Groups run on trust and attendance. When members miss meetings or forget contributions, it is rarely bad will: they simply were not reminded. A few well-timed SMS a month keep everybody informed, and they cost far less than the airtime of calling each member one by one.

Step 1: Get a clean member list

Collect every member's name and phone number in one place. The easiest way is a registration form: create one in Lead Capture, share the link in the group's WhatsApp, and each member fills in their own details. They are saved straight into a contact group, with no typing for the secretary.

Already have a list in Excel? Upload it to your contacts instead.

Step 2: Get your group's name as the sender

Members trust a message from UPENDO VICOBA more than one from an unknown number. Request a sender ID with your group's name; most are approved in 3 to 5 business days.

Step 3: Set up your regular messages

Meeting reminder, the day before every meeting:

Kumbusho: kikao cha wiki ni Jumatano saa 2 asubuhi, kwa Mama Asha. Lete mchango wako wa TZS 10,000.

Contribution received, after the meeting, so members see their money was recorded:

{first_name}, mchango wako wa TZS 10,000 wa tarehe 12/11 umepokelewa. Asante.

Loan repayment reminder, three days before the due date:

{first_name}, rejesho la mkopo wako la TZS 25,000 linadaiwa tarehe 30/11. Asante kwa kulipa kwa wakati.

AGM or special notice, two weeks and again two days before:

Mkutano Mkuu wa mwaka ni Jumamosi 14/12 saa 4 asubuhi. Ajenda: taarifa ya fedha na uchaguzi. Mahudhurio ni muhimu.

Step 4: Schedule, then forget about it

Write the month's reminders once and schedule them. They go out on time even if the secretary is travelling.

What does it cost?

SwalaSMS charges the same flat price per SMS whether you send to 20 members or 2,000. A group of 30 members receiving four reminders a month uses about 120 SMS, and your account shows the exact cost before every send. Credits never expire, so a small group can buy once and use them over several months.

Keep proof

Every message has a delivery report. When a member says "sikupata ujumbe", the treasurer can check whether it was delivered to their phone, which settles most disputes in a minute.
